Don’t Just Collect Brochures: Barrie – Simcoe County Wedding Ring Expo Tips from a Wedding Photographer 

This September will be our fourth time exhibiting at the Wedding Ring Expo, and after spending countless hours talking with engaged couples, we’ve noticed there isn’t really one “right” way to do the show – from either the vendor or couple side. 

Some couples arrive with a list of vendors they want to meet and work through it one by one. Others walk every aisle first, then circle back to the booths that caught their attention. We’ve seen both approaches work well.

The couples who seem to enjoy the experience the most usually have one thing in common. They treat the expo as a chance to meet people, not just collect information.

That might sound obvious, but it’s surprisingly easy to forget once you’re there. It can be overwhelming – pace yourself. By the time you’ve spoken with a photographer, a florist, a DJ, a planner and a venue, every brochure starts looking a little similar. The conversations are usually what stand out afterwards. Did they genuinely understand your vision or were they focused on a sales pitch? 

With that in mind, here are a few things we’d tell any couple before they walk through the doors.

Spend a Few Minutes Preparing Before You Leave Home

You don’t need a detailed plan for the day, but it’s worth spending ten minutes looking through the exhibitor list before you arrive. You can find all the info you need here (and your free tickets): https://www.theweddingring.ca/barrie-wedding-expo 

It’s also a good idea to have your wedding date handy, along with your venue if you’ve already booked one. Those are usually the first two questions most vendors will ask because they shape the rest of the conversation.

If you’ve already booked your venue, maybe photography is next on your list. If you’re still looking for a venue, that’s probably where you’ll want to spend most of your time. That is what sets your date to be able to book your vendors. 

Having a rough idea of who you’d like to meet doesn’t stop you from discovering new businesses. It just helps make sure you don’t get home and realize you completely missed someone you wanted to talk to.

The Smallest Tip We Have Is Probably the Most Useful

Bring labels. Pre printed with your name, your partner’s name, the email address you’d like vendors to use for follow-up information and prize notifications, phone number, your wedding date and your venue if you know it. 

It isn’t exciting advice, but it’s one of those things you’ll appreciate after you’ve filled out your fifth ballot or requested information from your tenth vendor.

Many Wedding Ring events provide labels when you register. If they do, use them. If not, printing your own takes about five minutes and saves you repeatedly writing the same information all afternoon.

It also gives you more time to actually talk with vendors instead of standing at a table filling out forms.

If we genuinely connect with a couple and they are excited to book – we will take their info down to prioritize our conversation with them – labels ensure their information is correct. 

Don’t Rush Through the Conversations

One thing we’ve noticed over the years is that couples often apologize for taking up our time. Please don’t.

If there isn’t a line behind you, ask another question. Even if there is, there are two of us. We do our best to make time for everyone because we know you’re there to ask questions, not spend the afternoon listening to one sales pitch after another. 

Tell us where you’re getting married.Tell us what you’ve planned so far. Tell us what you’re struggling with.

Those conversations help us understand your wedding far better than a contact form ever could.

The same applies to every vendor you meet.

You’re not only finding out what they offer. You’re finding out what they’re like to work with.

A photographer may spend eight, ten or even twelve hours with you on your wedding day. A planner could be helping you for more than a year before the wedding even arrives.

You’ll learn much more about whether someone is the right fit by talking with them than you ever will by reading a brochure after you get home.

Questions to Ask Every Wedding Photographer

One of the most common questions we see on social media is, “What should we be asking photographers?”

The short answer is…whatever matters most to you.

Hate having your photo taken? Ask how they work with couples who feel awkward in front of the camera.

Are family photos are important? ask how they’re organized.

Is your ceremony is late in the day? Ask how they handle low-light situations.

Know you’ll want an album? Ask to see one.

Every couple has different priorities, so there isn’t one perfect list of questions. That said, there are a few conversations we think are worth having with every photographer you meet.

Ask About Their Approach

Photographers often describe themselves using words like documentary, editorial, candid or traditional. Those descriptions can be helpful, but they don’t always tell you what it’s actually like to spend your wedding day with them.

Instead, ask them to describe how they work.

Do they quietly document the day as it unfolds?

Do they give lots of direction during portraits?

How involved are they throughout the day?

How do they keep family photos organized?

The answers will usually tell you much more than a label ever could.

Ask About Your Venue

If you’ve already booked your venue, ask whether they’ve photographed there before. But be careful not to count them out right away if they haven’t  – photography isn’t just about the venue. Every venue is new to someone at some point.

If they have, ask what they enjoy about it.

Is there a favourite portrait location?

Are there any lighting challenges they plan for?

Do they have ideas that work particularly well there?

The more useful question is how they prepare for a venue they’ve never photographed.

For us, preparation starts well before the wedding day. We arrive early, walk the property, look at the light, identify backup locations and review the timeline before the day really gets moving. We also look at photographs taken at the venue during the same season and time of day to understand how the light changes throughout the property. 

Ask About Rain

Nobody hopes for rain on their wedding day, but it’s worth knowing what happens if the forecast changes.

Do they have indoor portrait locations in mind?

Do they bring additional lighting?

How flexible is the timeline if plans need to shift?

You don’t need every detail, but hearing how someone answers that question gives you a good sense of how they handle the unexpected.

Ask About Delivery

Before you leave the booth, make sure you understand what happens after the wedding.

When do sneak peeks arrive? Do they do them? Do they post them to social media before you get yours? 

How long does the full gallery take?

How are the images delivered?

Do they offer albums and professional prints?

There isn’t a right or wrong answer because every photographer runs their business a little differently. The important part is knowing what to expect before you book.

Spend Some Time Looking Beyond Instagram

Social Media is often where couples first discover a photographer, but it shouldn’t be the only place you look.

Every photographer is going to bring some of their best work to a wedding show. That’s exactly what we’d expect. Every photographer wants to put their best work forward. That’s what instagram is about, right?

What you’re trying to figure out is whether they can tell the story of an entire wedding day, not just create a handful of beautiful images. If a photographer has a slideshow or a full wedding available to view at the booth, spend a few minutes watching it. If not, ask whether they can send you one afterwards. 

Pay attention to more than the portraits. Look at family photos. Reception photographs. The ceremony.

The quieter moments in between. Do their candid photographs capture the moments you know you’ll miss while you’re living them? 

A wedding gallery should feel consistent from beginning to end.

Pick Up the Albums

This is one of the biggest advantages of attending a wedding show instead of doing all of your research online. You can actually see and handle the products.

If a photographer has albums on display, ask if you can have a look through them.

Don’t just flip to your favourite image and move on.

Take a minute to notice how the album is put together.

Are the pages thick or thin?

Do they lay flat?

Do the photographs flow naturally from one page to the next?

Is the cover something you’d still be happy displaying in your home twenty years from now?

Are there other ways to customize the album? Are there different options for presentation? 

Those aren’t questions you can answer from a website. They’re exactly the kind of things wedding expos are great for – get your questions answered in real time. 

At our booth, we’ll have sample albums available because we think they’re meant to be experienced in person. Looking at photographs on a screen and holding a finished album in your hands are two completely different experiences.

Don’t Forget to Look at the Prints

Albums usually catch people’s attention first, but don’t walk past the framed prints.

It’s one of the few things you can only really appreciate in person.

Every photographer edits differently, and every professional lab prints a little differently too. Looking at a framed print gives you a chance to see things that don’t always come across on a phone screen. Skin tones, colour, sharpness and fine detail are all much easier to judge when you’re standing in front of a finished print.

If you’re considering ordering prints after your wedding, don’t be afraid to ask a few questions while you’re there.

Where are the prints produced?

What paper options are available?

Is there a warranty if something arrives damaged?

Will the photographer help if there’s a problem with an order?

Those answers can vary from photographer to photographer.

For us, the prints you’ll see at our booth are produced by Pikto, the same Canadian professional lab we use for our couples. We stand behind every print ordered through us, so if there’s ever a manufacturing issue, we’ll work directly with Pikto to make it right. They ship directly to whomever orders them – right from their Lab in Toronto. 

Every couple also receives a print release with their gallery, which means you’re welcome to print your photographs wherever you’d like. We simply can’t guarantee the quality or colour accuracy of prints produced through other labs because we don’t have any control over their printing process.

Professional prints aren’t something every couple thinks about while they’re planning a wedding, and that’s completely understandable. Most people are focused on the wedding day itself.

The expo gives you a chance to see what’s possible before you have to make that decision.

Before You Head Home

By the end of the afternoon you’ll probably have spoken with more vendors than you expected.

Go through the brochures while the conversations are still fresh.

Jot down who answered your questions without making you feel rushed, who seemed genuinely interested in your wedding, who made you laugh, and who shared ideas that really fit what you’re planning. 

You’ll be surprised how much easier it is to remember those conversations when you’ve written down a few thoughts before leaving the venue.

Once you’re home, spend a little time looking through the websites and social media accounts of the vendors you connected with. A wedding expo is a great introduction, but it’s only one part of getting to know the people you’re thinking about hiring. Give the vendors you are considering a follow on their platforms – this opens up future conversations as well.
